Tree Atlas

Issuing a report

Updated 2026-11-03

This guide uses the web desk at treeatlas.app/desk. Each site has numbered revisions: R1 starts when the first tree is recorded. Signing a revision locks it. Later edits start the next revision.

Sign off a revision

  1. On the desk, open the site.
  2. Open the Revisions tab, then tap Sign off R1. You can also tap Sign off in the site header.
  3. Read What changed. This lists the changes since the last signed revision.
  4. If Before you sign shows, read it. Fix the items under Must be fixed before you sign. Items under Worth checking are for you to check.
  5. Check Name, as you sign, Job title and Qualifications.
  6. Tick the statement, then tap Sign and lock.

An owner can tick Sign anyway, with a reason to sign with open checks. The reason is saved with the signature.

Who can sign

  • An owner can always sign.
  • A surveyor can sign when the owner ticks Can sign for them on the Team page of the web desk.
  • A reviewer cannot sign.

If the owner turns on Needs a second person on the Team page, nobody can sign a revision they worked on.

Download the signed report

  1. Open the Reports and plans tab.
  2. In Made from, choose the signed revision.
  3. Choose Report PDF, then tap Export PDF.

A signed revision prints from the signed record, exactly as signed. A draft prints DRAFT on every page. The phone app has the same Revision choice on the site's Reports and plans tab.

Issue by email

  1. On Reports and plans, with a signed revision chosen, tap Issue R1….
  2. Under Documents, tick the files to send.
  3. Under Recipients, tick site contacts, or type addresses in Other email addresses. You can send to 20 people at most. If an address is not valid, the field names it and Send stays off until you correct it.
  4. Add a Purpose and a Message if you want. Links and email addresses are removed from the email.
  5. Tap Send R1.

Tree Atlas builds the files on the server from the signed record, checks them and emails each person a download link. Small files are also attached. Anyone with a copy can check it on the public verify page. The email comes from Tree Atlas with your name and your business name, and replies go to you. Issuing needs signal.

On a free trial you can send to 10 people a day. Subscribe to send more.

Resend or void

To resend, open Revisions, choose the revision, then tap Resend… next to the issue. The same files go again, with a new download link for each person.

To withdraw a revision, an owner taps Void R1… on Revisions and types a reason of at least 10 characters. The reason is public. Voiding cannot be undone. The stored files do not change and their links keep working, but they show that the revision was voided and why. You can tick Email everyone it was sent to and Open R2 now.

If someone was not told, tap Send void notice on the voided revision. It emails only the people not told yet.

If this did not help, report a problem. We reply within one UK business day. If you cannot sync or cannot issue a report, we reply the same day.
